This page explains how office cleaning in Vienna actually works: which methods exist, what they cost, where their limits are, and why we choose one over another in a given case. If you only want to hear that we are good, this is the wrong page. If you want to understand what you are paying for, it is the right one. By the end you can compare our quote against any other, because you will know which items have to be in it at all.
The methods in office cleaning — explained, not advertised
In building cleaning the result is not decided by effort but by the choice of method. The same floor can be cleaned four different ways, at four different prices, with four different outcomes. The following ten methods cover practically every task in an office building.
Damp mopping with pre-prepared cover exchange system
- What it is
- Mop covers are not dipped into a bucket on site. They are soaked with a precisely dosed cleaning solution in advance and carried in portioned boxes. Each room or floor section gets a fresh cover; the used one goes straight into the laundry bag and is never touched again.
- How it is applied
- Typical dosage is 200 to 250 millilitres per cover, one cover covers roughly 20 to 25 square metres. Mopping runs in overlapping lanes away from the door so no area is walked on twice. Covers are washed at 60 degrees, which rules out germ transfer between rooms.
- What it costs
- Material cost around 0.04 to 0.08 euro per square metre plus laundry. Area output is roughly 350 to 500 square metres per hour in normally furnished offices.
- Advantage
- No germ transfer through mop water, constant dosage regardless of who is working, no carrying of water buckets, far fewer residues and therefore no grey film after a few weeks.
- Disadvantage
- Requires a larger stock of covers, twenty to forty per shift. Without working laundry logistics the method collapses. On heavily soiled surfaces the moisture level is not sufficient.
Two-chamber wet cleaning
- What it is
- The classic double bucket with separate chambers for fresh and dirty water and a press in between. The mop is pressed out, the dirty water lands in the second chamber and never returns to the cleaning solution.
- How it is applied
- Alkaline maintenance cleaner for floors, acidic sanitary cleaner in the toilet area. Water is changed after 60 to 80 square metres at the latest, in sanitary areas after every two or three units. Colour coding is strict: red for toilets, yellow for basins, blue for offices, green for kitchens.
- What it costs
- Very low material cost, around 0.02 euro per square metre, but more labour intensive. Output roughly 200 to 300 square metres per hour.
- Advantage
- Delivers considerably more moisture and therefore more dissolving power than the cover exchange system. Indispensable against urine, limescale and grease. Low purchase cost.
- Disadvantage
- Depends entirely on discipline when changing water. Change too late and the mop redistributes the dissolved dirt across the surface, the most common visible failure in the industry. Standing moisture also creates a slip hazard.
Machine scrubbing and suction cleaning
- What it is
- A scrubber dryer applies solution, brushes mechanically and vacuums the dirty water back up in the same pass. The floor behind the machine is practically dry and immediately walkable.
- How it is applied
- Ride-on or walk-behind depending on the layout, brush pressure between 20 and 45 kilograms. In offices we work with reduced water volume and a soft pad to protect joints and skirting. Edges and corners stay manual and are finished separately.
- What it costs
- Machine hour costed internally at 12 to 18 euro, area output 1,200 to 2,500 square metres per hour. It becomes cheaper than manual work from roughly 400 square metres of connected area, below that it does not.
- Advantage
- Constant contact pressure that no human maintains across eight hours. Dirty water is removed rather than spread. Immediate walkability without drying time or slip hazard.
- Disadvantage
- Needs open floor. In compartmented offices the setup effort exceeds the gain. It cannot reach corners, edges or areas under furniture. Purchase and servicing are expensive.
Deep cleaning with single-disc machine and resealing
- What it is
- The old polish layer on resilient floors – linoleum, PVC, vinyl, rubber – is completely stripped with a strongly alkaline stripper and a single-disc machine, vacuumed up, neutralised and then rebuilt with two or three coats of polymer dispersion.
- How it is applied
- Stripper diluted 1:5 to 1:10, dwell time 5 to 10 minutes, worked with a green or black pad at 150 to 180 revolutions, wet vacuum, rinse twice, reset the pH with an acidic neutraliser, dry completely, then apply the seal in cross passes. Allow 30 to 45 minutes between coats.
- What it costs
- With us 4.50 to 8.00 euro per square metre net depending on condition and number of coats. Output is roughly 25 to 40 square metres per hour and person.
- Advantage
- Resets the floor visually and technically. The new layer protects the covering against mechanical abrasion; it is the wear layer so the floor is not. Extends the service life of a floor considerably.
- Disadvantage
- The space is unusable for at least half a day, usually a night. If the pH is not neutralised correctly the new layer will not bond and peels off in patches. The method cannot be used on natural stone or untreated wood and will damage the covering.
Dry dust-binding mopping as the first pass
- What it is
- Before any damp mopping, loose soil is picked up dry — with an impregnated fibre sheet or a mop treated with a binding agent that traps dust instead of stirring it up. Only then does wet cleaning follow.
- How it is applied
- The cover is guided in calm overlapping lanes without lifting off, so the collected dust does not drop back. Corners, skirting zones and the areas under desks are finished with the narrow holder. One cover covers 60 to 80 square metres before it is saturated.
- What it costs
- Material cost around 0.02 euro per square metre, output 500 to 700 square metres per hour. The pass accounts for roughly fifteen percent of total time.
- Advantage
- Without this step damp mopping turns dust into sludge that settles in joints and corners. The dust-binding sheet also keeps fine dust on the floor rather than in the air — a noticeable difference in air-conditioned offices.
- Disadvantage
- It costs time and is therefore the first thing to be cut. On heavily soiled or sticky floors it achieves little, since wet work is needed anyway. A saturated cover redistributes the dust.
Entrance matting zone
- What it is
- A coordinated matting system at the entrance that catches coarse soil, moisture and fine dust in three stages before they are carried onto the office floor. Grating outside, brush matting in the lobby, textile matting inside.
- How it is applied
- Walking length decides everything: an effective zone needs at least six to seven steps, roughly four to five metres across all stages. Shorter runs capture only a fraction. The textile mat is vacuumed daily, twice a day in winter, and exchanged or laundered every one to two weeks.
- What it costs
- Mat service with exchange runs about 15 to 40 euro per mat and month depending on size and interval. In return the effort in routine cleaning drops measurably.
- Advantage
- Trade literature and manufacturer data assume a correctly dimensioned matting zone catches the majority of soil entering the building. That extends the service life of the floor coverings and lowers the cleaning frequency needed across the whole area.
- Disadvantage
- It needs entrance space that not every building has. A neglected or too-short mat is useless and becomes a soil source itself. Loose mats are a trip hazard unless recessed or rubber-backed.
Interior glass: door panels, partitions, fingerprint zones
- What it is
- Office cleaning deals with interior glass — door panels, glass partitions, meeting room glazing, display cases. It is cleaned with washer and squeegee, not with a spray bottle and cloth.
- How it is applied
- Wash crosswise with a heavily diluted solution, pull off in one continuous lane, wipe the rubber blade after each lane, finish edges and frames with microfibre. Fingerprint zones on doors only need dry buffing in between.
- What it costs
- 1.80 to 3.50 euro per square metre for full interior glass cleaning. Door panels and contact zones run along with the daily clean and are not billed separately.
- Advantage
- The squeegee leaves no streaks because it removes the water rather than spreading it. A cloth alone pushes the dissolved soil to the edges, where it shows once dry.
- Disadvantage
- It takes practice — an untidy pull leaves streaks that only show in sunlight. In direct sun the solution dries before it can be pulled off, and then only a complete rewash helps.
Surface disinfection: wiping versus spraying
- What it is
- With wipe disinfection the agent is applied and spread mechanically using a soaked cloth. With spray disinfection it is sprayed on and left to its dwell time without any wiping motion.
- How it is applied
- Wipe disinfection: cloth with ready-to-use solution, wet the surface completely, observe the dwell time stated by the manufacturer – usually 1 to 15 minutes – and do not wipe dry. One cloth per room or area, then into the laundry. Spray disinfection only where the surface cannot be reached mechanically.
- What it costs
- 0.05 to 0.15 euro per square metre in product. The real cost driver is the working time needed to observe the dwell time.
- Advantage
- The mechanical wiping motion physically removes most germs before the agent even acts. Only that combination gives a reproducible reduction in germ count.
- Disadvantage
- Spraying alone often performs worse than clean wiping with detergent: the mist wets unevenly, burdens the cleaner’s breathing air, and the surface dries before the dwell time is over. Excessive disinfection damages surfaces and promotes resistance.
Sanitary cleaning: acidic versus alkaline cleaners
- What it is
- Limescale, urine scale and rust are mineral deposits and dissolve in the acidic range. Grease, protein, hand cream and soap residue are organic and dissolve in the alkaline range. One product cannot do both.
- How it is applied
- Acidic sanitary cleaner pH 1 to 3 for bowls, urinals, fittings and splash-zone tiles, dwell time 3 to 10 minutes. Alkaline cleaner pH 9 to 11 for basins, mirrors, soap dispensers and floors. Never mix them and never use them consecutively without rinsing in between.
- What it costs
- 0.03 to 0.07 euro per square metre. The difference between a good and a bad result here is practically never the price of the product.
- Advantage
- Used correctly the deposit dissolves chemically and does not have to be scrubbed off. That protects the surface and saves working time.
- Disadvantage
- Acidic products attack natural stone, marble, terrazzo and enamelled surfaces, and the damage is irreversible. Alkaline products leave streaks on chrome. Mixed together they can release chlorine gas.
Maintenance, interim and deep cleaning
- What it is
- Maintenance cleaning is the recurring cleaning at a fixed interval. Interim cleaning is intensified cleaning of individual areas at longer intervals. Deep cleaning resets the covering completely and is a refurbishment service.
- How it is applied
- Maintenance cleaning daily to twice weekly following a specification with defined tasks per room group. Interim cleaning quarterly or half-yearly – carpet pad, skirting, door leaves, radiators, lamps. Deep cleaning once or twice a year with downtime.
- What it costs
- Maintenance cleaning from 41.20 euro per hour net or as a monthly flat rate. Interim cleaning by area. Deep cleaning 50 euro per hour net or from 13.64 euro per square metre depending on effort after inspection.
- Advantage
- Kept separate, the three positions are comparable and plannable. You see what you pay monthly and what is added once.
- Disadvantage
- Anyone packing everything into one flat rate looks cheaper but effectively never delivers the deep clean, because it was never paid for. The floor then deteriorates unnoticed over years.

The interval is the biggest cost lever in any quote — and the one most often set wrongly. Five factors decide it.
Occupancy
Soil input is not driven by square metres but by how many people are there and how often they leave their desk. Twenty people on 300 square metres create more work than five people on 600.
Visitor traffic
Every external visitor brings dirt in from the street. Medical practices, law firms with client traffic and showrooms therefore need a tighter interval in entrance and sanitary areas than purely internal offices.
Floor covering
Light coverings show dirt earlier than dark ones; carpet binds it and looks clean longer while it actually accumulates. With carpet, visual impression is the worst possible guide to the interval.
Season
From November to March soil input rises considerably through grit, moisture and salt. A winter interval with tighter entrance cleaning makes more sense than a rigid year-round plan.
Sanitary and kitchen
These two areas never follow the office interval. As soon as more than a handful of people use them, daily cleaning has no alternative — even when the office floor is cleaned only twice a week.
Cleaning chemistry and materials — the basics in numbers
Almost every visible cleaning failure comes down to two causes: the wrong pH or the wrong material. Both are explained in five minutes and never a problem afterwards.

Materials and equipment
Microfibre
The fibre is split and many times thinner than a hair. It absorbs dirt by capillary action rather than pushing it, which works largely without chemicals. It is washed at 60 degrees without softener, because softener permanently cancels the capillary effect. A cloth lasts roughly 300 to 500 wash cycles, after which absorbency measurably declines.
Pads by colour
White and beige polish, red cleans gently during operation, green is an abrasive pad for stubborn soiling, black strips coatings during deep cleaning. Too dark a pad on a thin wear layer grinds through it in a single pass. When in doubt, always take the lighter one.
Colour coding
Red for the toilet area, yellow for basins and sanitary surfaces, blue for offices and general areas, green for kitchens and food areas. This separation is not a tidiness principle but the hygiene chain: use a red cloth on a basin and the entire effort is void.
Dosing
Concentrates are measured through dosing units or dosing bottles, not by feel. Overdosing does not clean better; it leaves a sticky film that binds new dirt faster. With us dosing is part of the briefing and not left to how the day feels.
Mop covers
Cotton absorbs a lot of water and releases it reluctantly; microfibre does the opposite. For office maintenance cleaning microfibre covers are clearly superior, while cotton keeps the advantage on heavily soiled industrial floors.
Cleaning trolley
A well-designed trolley physically separates clean from soiled material, has separate sack holders for residual and recyclable waste and carries the cover boxes. Without that separation germ transfer happens on the trolley itself, not on the floor.
Which floor covering tolerates which method
The choice of cleaning product is not a matter of taste. The covering decides, and a single wrong reach can cost more than a year of cleaning.

The fourteen most common mistakes in office cleaning
We see these regularly when taking over a site. Avoiding them costs no extra money, only knowledge.
Mop water changed too late
Beyond a certain dirt load the mop starts putting the dissolved dirt back down. It shows as a grey film that worsens with every pass. The rule: change water after 60 to 80 square metres at the latest, considerably earlier in sanitary areas.
Acidic cleaner on marble
The most expensive single mistake in the trade. Marble or terrazzo countertops, window sills and floors are etched matt within minutes by any acidic sanitary cleaner. The damage can only be repaired by regrinding.
Overdosing cleaning products
Double the dose does not clean twice as well; it leaves a sticky film that binds dirt faster. After a few weeks the surface looks worse than before cleaning started.
Disinfecting instead of cleaning
Disinfectants do not clean. Applied to a soiled surface the product sits on the dirt and never reaches the surface at all. Clean first, then disinfect — never the other way round and never at the same time.
Dwell time not observed
If the container states five minutes and the surface is wiped after thirty seconds, the product has had no effect. With disinfectants the surface is then formally disinfected and factually not.
Microfibre washed with fabric softener
Softener coats the fibre and cancels its capillary action. The cloth then pushes dirt around instead of absorbing it. Microfibre is washed at 60 degrees without softener.
Colour coding ignored
If the toilet cloth is then used on the basin, the entire hygiene chain is void. Red for toilets, yellow for basins, blue for offices, green for kitchens — without exception.
Deep cleaning hidden in the flat rate
If deep cleaning is not a separate item in the quote it effectively never happens. The floor loses protective layer year after year until the covering itself is worn through and has to be replaced.
Water too hot
Above 60 degrees protein denatures and burns onto the surface instead of dissolving. In kitchens hot water on protein soiling is the classic mistake, because it feels intuitively right.
Carpet extracted with too much water
If moisture stays in the backing the result is shrinkage, edge discolouration and in the worst case mould underneath. Extraction must always end with one or two dry suction passes.
Damp mopping without dry pick-up first
Damp mopping without removing dry soil first turns dust into sludge and pushes it into corners and joints. Dry pick-up always comes first, without exception.
Windows cleaned in direct sun
The solution dries before it can be squeegeed off and leaves streaks that can only be removed by washing the whole pane again. Glass is cleaned in shade or outside direct sunlight.
No specification in the contract
Without a written definition of which task is owed at which interval there is no basis for complaints. The provider can reject any task as not agreed.
Unregistered cleaning staff
If a cleaning company employs unregistered staff, the client can also be drawn into liability during inspections. You should want to see the registration confirmation once before signing the contract.
Three fully costed example sites
To make the price figures tangible, here are three typical Vienna sites with effort and order of magnitude. It only becomes binding after an inspection.
Law firm, 180 sqm, 8 people, 2 sanitary units
Interval three evenings a week. Hard floors with carpet in two meeting rooms. Cleaning time per shift around 1.5 hours, roughly 19.5 hours a month. Maintenance cleaning as a flat rate around 800 to 900 euro net per month. Plus annual deep cleaning of the hard floors at around 1,100 euro net and interior glass twice a year at around 250 euro net. File protection, NDA and waste paper emptying with document destruction are included.
Open-plan agency, 420 sqm, 26 people, heavily used kitchen
Daily interval plus a second kitchen pass at midday. Cleaning time per evening shift around 2.5 hours plus 45 minutes at midday. Maintenance cleaning around 2,400 to 2,700 euro net per month. Quarterly carpet pad cleaning at around 700 euro net each, annual spray extraction around 1,500 euro net. The corridor is machine cleaned because the connected area exceeds 400 square metres.
Medical practice, 140 sqm, 4 treatment rooms, waiting area
Daily interval after closing, separate cleaning runs for treatment and waiting areas, dedicated colour coding per zone. Cleaning time around 1.25 hours per shift. Maintenance cleaning around 1,100 to 1,250 euro net per month including wipe disinfection of all contact surfaces with observed dwell time. The higher square metre price compared with the law firm is entirely explained by disinfection effort and duplicated equipment.
Office cleaning by sector
The cleaning plan differs sharply by use. What matters in a law firm is secondary in an agency.
Law firms
Confidentiality above everything. Files are not moved, waste paper is emptied only with document destruction, and every assigned person signs individually.
Tax consultancies and accounting
Seasonal peaks in spring, open documents on desks. We clean around the paperwork, not over it.
Medical practices
Separate cleaning runs for treatment and waiting areas, wipe disinfection with observed dwell time, dedicated colour coding per zone.
IT and agencies
Many screens, much hardware, little paper. Dry dusting on equipment; kitchen and sanitary areas are the actual focus.
Retail and showrooms
Glass and floor appearance decide the first impression. Higher glass interval, less desk surface.
Coworking and open-plan
High occupancy, constant use. Kitchen and sanitary areas need two passes a day rather than one.
Production with office wing
Two cleaning worlds in one building: the office wing to office standard, the hall with different products and different protective equipment.
Banks and insurance
Access control, escort requirement in certain zones, documented key issue. Staff changes are reported in advance.
What clients should know legally
In Austria the client can under certain conditions be held jointly liable if a contracted cleaning company fails to register its employees properly. This client liability is designed to curb wage and social dumping and in practice hits companies that took the cheapest provider without checking its employment arrangements. Enforcement is by the financial police, and the inspection takes place on site, meaning at your premises. In practical terms: ask once to see the health insurance registration confirmations for the people assigned before you sign the contract. A properly run business produces them without hesitation. The collective agreement for monument, facade and building cleaners matters just as much: it sets minimum wages, surcharges for night, Sunday and holiday work, and allowances. An hourly rate significantly below the collective wage plus ancillary costs cannot legally be delivered as a matter of arithmetic, not negotiating stance. Finally, public liability insurance: without it you carry the loss on a locking system, floor covering or fittings yourself if whoever caused it cannot pay.
Special cases that regularly arise in office operation
Post-construction cleaning after refurbishment
After drywalling, painting or floor laying, fine dust remains and settles again for weeks. Normal maintenance cleaning does not remove it because it sits in joints, vents and on high surfaces. Post-construction cleaning runs in two passes several days apart, because the disturbed dust has to settle first. Cement film on tiles needs an acidic specialist product and cannot be removed with glass cleaner.
Office relocation
Before moving in, the empty area is cleaned while no furniture is in the way — the only moment when a full-surface deep clean is possible. After moving out, condition decides the deposit or the handover to the landlord, and the standard in the lease applies, not broom-clean.
Water damage
The immediate measure is extracting standing water, not mopping. Textile coverings must be dry within roughly 48 hours, otherwise mould starts forming in the backing. In these cases we work with wet vacuums and building dryers and document the process for the insurer.
Flu season or elevated infection levels
Instead of blanket disinfection, the interval on contact surfaces is tightened: door handles, light switches, lift buttons, taps, coffee machine — two or three times a day instead of once. That is more effective and cheaper than disinfecting all floors, which epidemiologically achieves practically nothing.
Vacancy and interim use
Unused areas need no daily interval, but sanitary areas must be flushed weekly, otherwise traps dry out and drain odour enters the rooms. This is the most common complaint in buildings left empty over the summer.
Terminating the previous provider
When taking over a site we document the initial condition with photographs before cleaning for the first time. That protects both sides: you see what was actually handed over, and no pre-existing defect is attributed to us. It frequently turns out that no deep cleaning has happened for years.

Every complaint is documented, the rectification date recorded, and the work done free of charge within 48 hours. If a defect persists, the team is replaced rather than debated. Working times are recorded per shift so it stays verifiable how much time was actually spent on site. Providers without time recording cannot prove, when a complaint arises, whether anyone was there at all.

Access and deliveries are restricted by the pedestrian zone, so shifts are planned outside the closed hours.

Around Praterstern and the trade fair, modern office buildings with large glass surfaces and open layouts. Machine floor cleaning pays off here because connected areas above 400 square metres are common. The glass share is above average, so we set a higher interior glass interval.

Authorities, embassies and office towers around Rennweg and Quartier Belvedere. Access control with escort requirement is common, which extends shift times. We cost the escort time openly instead of hiding it in the hourly rate.

How to recognise a solid quote
Do not compare cleaning quotes by the hourly rate but by four points. First: does it include a specification listing every task per room group with its interval? Without that document it stays open what is actually owed, and every complaint ends in a debate. Second: is deep cleaning shown as a separate item or hidden in the flat rate? If it is missing it will never be carried out, and your floor loses protective layer every year. Third: is the hourly rate even feasible under the collective agreement plus ancillary wage costs? If it sits clearly below, either less time is spent on site than offered or staff are not properly registered — and both come back to you in the end. Fourth: is there a named substitute for illness and holidays? Providers without a substitution rule send just anybody, or nobody. These four points cost you fifteen minutes of reading and can save a year of trouble.
